Designing a Dynamic Form Builder to Streamline Compliance Workflows.
Overview:
The Manage Questionnaires functionality is a key part of a KYC (Know Your Customer) tool designed to help compliance teams create, customize, preview, and manage dynamic customer questionnaires. It provides a central interface to track forms by status, edit or build forms using a powerful drag-and-drop builder, and ensure that the final version meets regulatory requirements before submission.

Problem Statement:
Prior to this solution, managing customer questionnaires was a fragmented process with limited visibility and flexibility. Compliance teams lacked:• A single interface to track and manage forms across different statuses.• An easy way to create and customize questionnaires.• A real-time customer-facing preview of the final form.• A structured approval process with clear submission and draft workflows.
Key Objectives:
The key objectives of the KYC Tool were:• Display Questionnaires Clearly.• Enable Quick Actions.• Support Form Creation.• Empower Field Customization.• Allow Flexible Submission.• Provide Real-Time Previews.
Research & User Insights:
Through user interviews and workflow mapping, we learned:• Teams often work on multiple questionnaires simultaneously.• Real-time editing and form personalization are critical to their compliance needs.• Users want to drag-and-drop fields, not deal with static templates or code.• Submission and approval processes need clear distinction and flexible control.
Collaboration:
I collaborated with:• Business Analyst to define form lifecycle, statuses, and permission logic.• Developers to build an intuitive and scalable form builder with drag-and-drop interactions.• QA Teams to test state changes, form element behaviors, and real-time previews.• We also involved end-users in usability walkthroughs to validate the builder’s interaction flow.
Design Process:
a. Wireframes & Table Architecture:
• Designed the main questionnaire table view with sorting icons, action buttons, and bulk-selection logic.• Clearly defined color-coded statuses for fast scanning.
b. Interaction Design:• Implemented single and multi-select logic to display relevant actions like Edit or Delete.• Designed a +Questionnaire button to launch the creation flow.
c. Form Creation & Builder Integration:• Allowed users to create questionnaires via a dedicated form screen.
• Integrated a drag-and-drop form builder from the action options for both new and existing forms.• Ensured the experience was intuitive, with real-time field previewing.
d. View Mode for Customer Preview:• Developed a View Questionnaire screen, mimicking the customer-facing version of the form.
• Made it accessible from the action buttons so users can confirm form presentation before approval.

Impact & Results:
• Streamlined form handling with fewer clicks and clearer actions.• Reduced creation and approval time with reusable templates and real-time previews.• Improved form accuracy and compliance due to enhanced visibility before submission.• Greater autonomy for KYC teams to manage forms without technical support.
